University of Waikato


The University of Waikato, located in the cities of Hamilton and Tauranga, is an internationally recognised tertiary institution. Until 2017 The University of Waikato had its own Copy Centre on-site, supporting 11 Faculties, 99 Departments, 20 Research Centres and 24 Central Service Divisions across the University.

The Copy Centre included a Printery and Retail Store and was challenging and inefficient to manage for the organisation.  It was also ‘clunky’ for University staff to use for ordering for their printing, training and marketing materials, stationery, signage, merchandise, and other ad-hoc print requirements. 

It was time intensive for staff to become trained to understand print, and it was never fully possible to achieve an intimate knowledge of the many technical aspects of print, needed to do it both effectively and efficiently. 

The University went to market to fully outsource their print requirements. PCL Group tendered for the RFP, and we were reviewed and checked over an 18 month period by the University. As a Government contract, we were also required to meet the criteria for environmental consciousness with evidence of sustainable practices mandatory for the University. 

Upon being awarded the contract, PCL Group audited all current print processes and implemented a user-friendly online ordering & print management system. We took over the complete control of the printery and retail shop, and were pleased to be able to hire a number of existing staff that would have otherwise been made redundant.

PCL Group set up user-friendly interfaces for the University, customising our Media Centre online print ordering & management system to perfectly wrap around the needs of the wider organisation.  A Staff portal was set up first, closely followed by a separate Student portal.  Both systems were developed to be able to cope with both ‘On-Demand’ Print order and orders for pre-printed core print stock items held as inventory items in PCL Groups warehouses. 

For On-Demand printing, we worked with the University to determine what items would be available and what components of these items would be editable, and then ordered.  We worked closely with the University Marketing team to ensure brand standards were maintained in every instance.  We also helped the University to manage their User Lists, and the permissions attributed to each user. 

Finally, we worked with the University to train users across the organisation, in a very short timeframe, how to use the system and understand their various purchasing privileges. This was achieved ‘in-system’ vs. live one-on-one training.  Help Desk support was made available throughout this period. 

We successfully completed the integration / implementation in just 4 weeks from contract acceptance to ‘Go-Live’. 

Merch too please…

After approximately 12 months the University approached us to take over all aspects relating to their Merchandise management (promo gifts, uniforms, merchandise and events). We had achieved such a high satisfaction rating for printing that they felt this would be a sensible natural extension of our service. 

A key part of our merchandise remit was to set-up another robust portal for online merch ordering. We built a bespoke store where all University gear can be purchased online as well as instore.  We now procure, organise and sell on their behalf, and have sourced all kinds of giftware and promo products now held within the system.

We recently developed and introduced a ‘design a hoodie’ competition for the University’s 12,000+ students, which proved extremely popular and drew attention to the online merchandise ordering / gifting opportunities.
